About this tool

What you need to know

How long a stock-take takes depends on three things: how many assets you count, how long each one takes to find and record, and how much time goes on moving between locations and reconciling the results afterwards. This calculator makes each of those an explicit input so the estimate is transparent and easy to challenge.

The per-asset times are assumptions you should edit. The defaults — 45 seconds per asset for a paper checklist (find the asset, read the label, find the row, tick and note), 8 seconds for a phone scan of a QR code or barcode, and 1 second of effective time per asset for UHF RFID, where one sweep reads many tags — are illustrative starting points, not measurements from your site. Time a sample of 20 assets with each method and replace them with your own numbers.

The result shows total person-hours, elapsed hours with your team size, working days, and annual hours at your audit frequency. Reconciliation is entered separately because matching a paper count to a spreadsheet by hand is often slower than the count itself; in Asetavo, scans are matched to the register automatically when you reconcile a stock-take session.
