Set up locations, categories and custodians

Build your location hierarchy, define asset categories with default depreciation, and add custodians and departments.

Do this before adding assets: every asset points to a location, a category and (usually) a custodian, so getting these right first saves re-work later.

Prerequisites
The “manage” permission (workspace owners have it).
  1. Create your location hierarchy

    Go to Register → Locations. Add a site (property), then its buildings, floors and rooms. Rooms can also be typed as a zone or an area. Keep names the way people say them on site, e.g. “Block A · Floor 2 · Finance office”.

  2. Add categories

    Go to Register → Categories. For each category, set a default useful life and depreciation method — new assets in the category inherit them. You can nest categories (e.g. IT equipment → Laptops).

    Tip
    Align categories with your finance asset classes so depreciation and reports line up with the general ledger.
  3. Add departments and custodians

    Go to Register → Custodians. Add departments, then the people who are responsible for assets, with their email and phone.
