How to create an asset numbering system
Four steps. Every number is an input you control, and nothing leaves your browser.
Pick a short organisation or register code, e.g. AST, and a separator.
Add site, category or year codes only if you will never need to change them.
Choose the start number, digits and an optional check digit, then how many IDs you need.
Download the CSV or send the IDs to the label generator to print QR or barcode labels.
What you need to know
Every tracked asset needs an identifier that is unique, never reused and easy to read off a label. This generator creates sequential asset tag numbers in the format you choose — for example AST-000123, or AST-HQ-LAP-000123 if you want site and category codes — padded to a fixed number of digits so every ID has the same length and sorts correctly in a spreadsheet. Add a Luhn check digit if IDs will be typed by hand: it catches most single-digit mistakes and swapped neighbouring digits.
Keep the format simple. The most robust asset numbering system is a short prefix plus a sequence number, with no meaning built in. Location and department codes go out of date as soon as an asset moves, and then the ID either has to change — breaking labels, paperwork and history — or becomes misleading. If you do use site or category codes, treat them as “where it was registered” and never change an ID once it is on a label; record the current location in the register instead.
To generate several series at once, list one line per site and category with a count. You can continue numbering across lines (one sequence for the whole organisation, the safest choice) or restart for each line.
