How to use it

5 steps to a working church asset register

  1. Download the workbook, read the yellow example rows, then delete them.

  2. Walk the buildings room by room — sanctuary, vestry, sound booth, hall, kitchen, offices, stores — with the printable inventory sheet below.

  3. Add one row per item, or per set for things like stacking chairs. Mark donated and borrowed items correctly.

  4. Enter an insurance (replacement) value for each item and whether it is insured, then use the Summary totals at insurance renewal.

  5. Label items discreetly with their Asset ID and re-check the inventory at least once a year, updating “Last verified”.

The borrowed PA system is listed so everyone knows it must be returned, but it is left out of the church’s totals and insurance values.

Church assets

What to include in a church inventory

Record anything the church would need to replace after a theft, fire or flood, and anything that is lent out. Typical church assets include:

  • Sanctuary: pews and chairs, lectern, pulpit, communion table, banners and furnishings.
  • Sound and AV: mixing desk, microphones, speakers, projectors, screens, cameras and streaming kit.
  • Musical instruments: piano, keyboards, drums, guitars and amplifiers.
  • Liturgical and worship items: chalices, candlesticks and other valuable or historic pieces (photograph them).
  • Hall and kitchen: tables, stacking chairs, cookers, fridges, urns.
  • Office and ICT, vehicles, and grounds equipment such as mowers.
Insurance & trustees

Using the register for insurance and trustee reports

Insurers usually ask for a contents value and, after a claim, for proof of what was lost. A register with replacement values, serial numbers and photos of high-value items makes both easier. Review insurance values each year rather than relying on the original price.

Denominations, dioceses, charity regulators and insurers each have their own requirements for inventories and fixed-asset accounting. This template is a neutral starting point — check what your trustees, denomination, insurer and accountant need and adjust it to match.

Google Sheets

Use it in Google Sheets

The workbook is a standard .xlsx file, so it opens in Google Sheets without a separate version. Upload it to Google Drive, open it, and choose File → Save as Google Sheets — or open a blank sheet and use File → Import → Upload → “Replace spreadsheet”.

Formulas, dropdown lists and frozen header rows carry over. If dates you type are not recognised, check File → Settings → Locale so the sheet expects the same date format you use.

Spreadsheet vs software

When to move the inventory into software

A shared spreadsheet becomes hard to keep current when several volunteers and ministries use the equipment. Consider software when:

  • AV and music equipment is lent between ministries, campuses or to members, and items go missing.
  • Several volunteers need to update the inventory and the file keeps diverging.
  • You run more than one site or campus.
