Asset register, stock-take, plant and equipment register: what UK teams call things

UK buyers rarely search for an "asset inventory". Finance teams talk about the fixed asset register, operations teams about the stock-take, and estates or engineering teams about the plant and equipment register. They are the same records seen from different desks, and in Asetavo they are one register.

Tax context

Capital allowances need a clean fixed asset register

In UK tax, accounting depreciation is not deductible. Businesses claim capital allowances instead, which, as GOV.UK puts it, let a business deduct some or all of the value of qualifying items such as plant and machinery from its profits before tax. GOV.UK also describes the annual investment allowance, which covers up to £1 million of certain plant and machinery.

Your adviser works out which pool each item belongs to and what can be claimed. What they need from you is a register that shows what was bought, when it came into use, what it cost and when it was disposed of. Asetavo stores those facts on each asset and lets you run a UK capital allowances tax profile next to the book depreciation your accounts use, so the two figures never come from different spreadsheets.

This is general context, not tax advice. Pools, rates and allowances change with each Budget; check the current position on GOV.UK and with your accountant.

Ireland

Asset registers for Irish organisations

Irish finance and operations teams generally use the same words as their UK neighbours: the fixed asset register, the stock-take and the asset tag. The table above therefore applies in Ireland as written, and the records are the same: what each item is, where it is, who holds it, what it cost and when it came into use. The difference is the currency. Set the workspace currency to euro and cost, residual value, depreciation and net book value all read in euro, while the subscription itself is billed in US dollars.

Many teams start from a spreadsheet. The Excel/CSV import wizard maps its columns to Asetavo fields, so the existing register becomes the starting point, and you can test it all on the free Starter plan before anything is billed.

Schools and further education

Laptops, tablets and AV kit counted room by room, and devices lent to staff and students with a return date, so overdue items are easy to chase.

Local authorities and public bodies

One register across depots, libraries and offices, with stock-takes run site by site and the results exported to Excel or CSV as evidence for the auditors.

Charities

Show funders and trustees what grant money bought and where each item is now, then export the register to Excel for a funder visit or the annual report.

Who uses a register like this

Academy trusts, NHS teams, charities and multi-site retailers

Academy trusts and colleges

A trust with several schools needs one register across sites, with laptops and AV kit counted room by room and devices lent to staff and pupils with a return date.

NHS and private healthcare

Shared equipment moves between wards and clinics. Departments, rooms and custodians on each item, plus servicing records, keep it findable and in date.

Charities and housing associations

Trustees and funders want to see what grant money bought and where it is. Export the register to Excel for the annual report or a funder visit.

Retail and hospitality groups

Store fit-out, tills and kitchen equipment across many branches, counted the same way in every branch so results compare.

Stock-takes

Running the year-end stock-take across UK sites

  1. Scope by site

Open a stock-take session for one office, school or store, or narrow it to a floor or room.

  2. Scan what is there

Count with a phone camera in the browser, a handheld barcode scanner, or a UHF RFID reader for bulk reads on the Business plan.

  3. Review the variance

Found, missing and unregistered items are listed. Mark items found, keep searching, or write them off.

  4. Hand the evidence to finance

Export the variance and the updated register to Excel or CSV for the auditors.

Shortlisting

Comparing UK asset tracking tools

Most UK shortlists include a UK-based vendor such as itemit alongside US tools. Our comparison sets out where each one fits, using the vendor’s own published information and dated. Asetavo’s case is one register that starts free with QR and barcode labels and check-in/check-out, then adds NFC and audits on Growth and UHF RFID readers, zones, maintenance and depreciation on Business.

Currency and billing

Pounds or euro in the register, US dollars on the invoice

Record cost, residual value and depreciation in pounds sterling or euro as your workspace currency, so the register reads like your ledger. Subscriptions are billed in US dollars, so your bank or card provider converts the charge and the amount in pounds or euro can move slightly from month to month. Starter is free, so you can build and test the register before any invoice exists.
